Dear Jonas and Bjoern,

thank you for this clarifying e-mail.
Concerning your comments on the minutes, is it possible for you to update the minutes using 'track change mode' and send them to me and Brian?
The new version will be easier for the team to follow each of your points and we will also have minutes that are satisfacotry for you as well.
I would prefer that me or Brian dont change them ourselves, but that you do it instead, so that we are sure, that they reflect your positions.

Thank you.

Best,
Katerina

Dear Katerina (and all),

Please find version 3.0 of the document "O2/A4 assessment methodology
and tools" on the Keybase platform.

As you may remember, we were unable to effectively participate in our
last telco due to very bad connections (we could barely hear Katerina
and no other person during he meeting) so we were unable to follow the
discussion, which may have contributed to some misunderstandings.
Anyhow, when we consider the minutes it is clear to us that the minutes
do not reflect what we were trying to convey related to several of the
statements in the minutes.

For example, this sentence in the minutes does not reflect what we have
stated earlier and what we were trying to convey during the meeting:

"BL/JG noted that the style/tone of the language used in Unit 4 is based
on prior experience working with Swedish SMEs and feedback they received
at the time."

Instead, this sentence would better reflect what we have tried to
communicate (earlier and during our last telco):

"BL/JG noted that the content and style/tone of the language used in
Unit 4 is based on feedback from dialogues with SMEs during the conduct
of the FOSS4 SME project (during autumn 2018) and prior experience
working with Swedish SMEs and feedback they received at the time.

Further, this statement is incorrect:

"KT noted that SKUNI has provided a first draft of the guidelines and
templates for assessments."

...since this was not the first draft and we suggest this statement
which better reflects what has been provided:

"KT noted that SKUNI has provided a second version of the guidelines and
templates for assessments."

Further, in Keybase we have now presented version 3 which includes a
revision history to make this more clear.

This summary presents a slight misunderstanding of what we agreed to
(perhaps due to the fact that we were unable to effectively hear what
was said due to bad audio quality):
"The partner countries should use their extended network to involve SMEs
from other EU countries. KT recommended that at least 3 SMEs of other EU
countries should be involved from each project partner. They can be from
the same country. It is better for the project is we reach as many as
possible. KT recommended that SKUNI should make a note of this in their
documentation. BL/JG agreed."

Please see version 3.0 in the revised document which reflect what we
agreed to.

This sentence is incorrect:

"Assessment template is available in Excel form as provided by SKUNI."

...and we instead suggest:

"Assessment template is available in the ODS-file format as provided by
SKUNI."

This part suggests to us that there are some misunderstandings and need
for clarifications (again, the sound problems may have contributed to
the misunderstandings):

"Concerning the three different scenarios presented in the guidelines
and since we know that different SMEs may have very different
preferences, KT wanted to discuss how can we deal with this technically.
ATL receives one file and uploads it to the platform. How can we make
sure that the other scenarios are working? What buttons do we need to
provide in the platform? Due to sound problems the discussion was broken."

In version 3.0 we have added details in order to clarify the three
different usage scenarios (which requires more than one file per
partner) that we first discussed in the kick-off meeting.

Since we have not heard any discussion about this in the telco we are
unsure about what is referred to:
"Another point that should be included in the guidelines has to do with
the calendar days on which the partners should be available as tutors
online one hour per day. This should be also covered in the updated
guidelines."

However, since we understand that something is unclear we have added
some information in version 3.0. First, we have clarified what needs to
be done before the assessment can start and the necessary time needed
for the SMEs. Second, the guidelines include details concerning
availability for all partners as tutors.

At this stage, we find that any suggested time line for the project is
dependent on the availability of learning content for all three usage
scenarios. Currently, we note that the learning content for one unit
(unit 4) is available for the third usage scenario. We are concerned
that the remaining time window for the conduct of the assessment
activities (by use of the three usage scenarios) will be very limited
(especially when we account for vacation). However, we are still hopeful
that assessments can be ready before the final conference.

Kind regards,
--Björn & Jonas
